Frequently Asked Questions about Kibi Connect
Here you’ll find concise answers to typical questions that come up before a demo or introduction.
General questions
Yes, Kibi Connect is GDPR-compliant.
Yes. Kibi Connect is designed for organizations with high data sensitivity and can be operated with hosting in Germany as well as clear access rights.
Yes, Kibi Connect is designed specifically for non-desk workers without PC workstations.
Yes. The platform is specifically designed for operational teams and works especially well on smartphones.
Which modules are included?
Depending on your setup, Kibi Connect consolidates news, chat, groups, wiki, files, tasks, surveys, calendars, and other apps into a single platform.
The implementation can start immediately.
A productive start is typically possible in the short term. The exact process depends on the structure, permissions, and number of teams.
Can content be structured by team, location, or department?
Yes. Information and tools are delivered in the right context through groups, rights, and role-based visibility.
Do you support onboarding and rollout?
Yes. We support setup, basic structure, rollout planning, and best practices so your teams can get off to a smooth start.
Does Kibi Connect translate content automatically into other languages?
Yes. Kibi Connect automatically translates news, wiki articles, and other content into the language of each reader. Management posts once in German, the Turkish technician reads the same post in Turkish, the Portuguese shift lead in Portuguese. The original remains — the translation is shown in real time.
Can employees chat in their own native language?
Yes. Everyone writes in the chat in the language they are most comfortable with — a Turkish colleague in Turkish, a Portuguese colleague in Portuguese, a German colleague in German. Recipients see the message automatically in their preferred language. That creates genuine multilingual exchange without language barriers — no falling back to English.
Which languages does Kibi Connect support?
Kibi Connect automatically translates into more than 30 languages — including German, English, Turkish, Polish, Romanian, Portuguese, Russian, Ukrainian, Arabic, French, Italian, and Spanish. Especially in industries with international teams — manufacturing, contract catering, cleaning, construction — you reach every person in their own native language.
Where are translations processed, and is this GDPR-compliant?
Translations run exclusively through AI services hosted in the EU — no US cloud, no cross-border data transfer. Processing is GDPR-compliant and a DPA is available. Original texts are not used for training. That means public administration, hospitals, and regulated industries can also benefit from automatic multilingual communication.
How do we onboard our employees into Kibi Connect?
You have three paths that combine well: single users are created directly in Kibi Connect in seconds — perfect for new hires in day-to-day operations. For the initial onboarding of many employees, you can import existing lists via CSV in just a few clicks — including departments, roles, and locations. Alternatively, the Microsoft Entra ID integration (formerly Azure AD) syncs your directory automatically and enables single sign-on. Accounts, departments, and offboarding stay up to date with no manual work.
Pricing & packages
What does Kibi Connect cost per person?
The price per user depends on package size and ranges from €1.70 to €2.88 per employee per month. Larger packages are cheaper per head. A package for up to 25 employees starts at €72 per month; a 200-user package costs €429 per month (€2.15 per person). All prices excl. VAT.
Are all features included in every package?
Yes. All features – news, wiki, chat, files, calendar, groups, tasks, time tracking, and dashboard – are fully included in every package. You only pay for the number of licenses, not for individual modules.
Is there a cheaper plan for users who only read news?
We deliberately work with a single, fair price per person – and that is by design: every person in the company should have access to the full feature set from day one. The price per user is already a blended price that accounts for the fact that, in practice, not everyone uses every feature equally. That way you avoid the overhead of managing different role-based licenses, and nobody is artificially limited – in most rollouts, usage grows well beyond what was initially planned.
Can I combine packages?
Yes. Packages are license bundles and can be freely combined. The pricing calculator automatically finds the cheapest option for your team size. For 150 employees, for example, the system combines a 100-user and a 50-user package instead of an oversized 200-user package.
What if I need more storage?
Every package already includes storage (50 GB to 1 TB). If needed, you can add storage upgrades of 100 GB for €20.00 / month at any time – as many as you need and with no long-term commitment.
Is there a free trial?
Yes. You can try Kibi Connect for free and see for yourself. For productive use, we recommend our onboarding package – we structurally roll out Kibi Connect in your company within 4 weeks.
Where is the data hosted?
Data is hosted exclusively in Germany (Hetzner Cloud). Kibi Connect is GDPR-compliant; the AI agents also run in the EU – no US cloud. That is a key trust anchor for public administration, hospitals, and regulated industries.
What contract terms apply?
We work with flexible annual contracts. Billing is monthly or annually; the notice period is stated in your individual offer. You can upgrade your package at any time as you grow.
Which companies is Kibi Connect suitable for?
Kibi Connect is the digital hub for companies with non-desk workers – employees who do not work at a PC. That applies to around 80% of all workers in Europe: manufacturing, skilled trades, contract catering, public administration, and field service.
Manufacturing
Which employee app is suitable for shift-based manufacturing operations?
Kibi Connect is purpose-built for non-desk workers. Manufacturing operations use it to reach early, late and night shifts at the same time, without anyone missing out. Push notifications hit every shift directly on the phone, read receipts show who has been informed.
Does Kibi Connect work without company-issued smartphones in production?
Yes. Employees can use their own phone — the app is GDPR-compliant and keeps private and work content cleanly separated. Anyone who does not want to use a phone can access the platform via a shared works tablet, an info kiosk or the office browser.
How does Kibi Connect replace WhatsApp groups in manufacturing?
WhatsApp is widespread on the shop floor but is hard to govern from a data protection point of view. Kibi Connect provides chat, groups and push in a GDPR-compliant platform hosted in Germany — and additionally bundles news, wiki, tasks and files in one place.
How quickly can Kibi Connect be rolled out in a manufacturing operation?
First teams are typically productive within a few days. We recommend starting small — with news, chat and wiki — and adding modules like tasks or time tracking step by step. No big-bang rollout, just a healthy growth path together with the team.
Does Kibi Connect meet data protection and works council requirements in manufacturing?
Yes. Hosted in Germany (Hetzner Cloud), GDPR-compliant, DPA template available. A clear roles and permissions concept allows clean separation between areas. For works councils we provide templates and consulting for co-determination processes.
Public administration
Which employee app suits municipalities with depot and field teams?
Kibi Connect is built for organisations where desk-based and field teams work side by side. Administration, depot, kindergartens and field teams use the same platform — news, chat, wiki and tasks are available on a desktop in the town hall as well as on the move.
Does Kibi Connect work for both civil servants and contracted employees?
Yes. The platform is status-neutral and uses a permissions concept to map roles, responsibilities and areas. That allows sensitive information to be targeted exactly to the right groups.
How can mayors or department heads communicate instructions to all areas at once?
Through the central newsfeed with push notifications, important instructions reach every person immediately — with optional read receipts. Topics like winter service, safety or HR information can be sent to specific areas or the whole organisation.
How does Kibi Connect meet a municipality's IT security requirements?
Hosted in Germany (Hetzner Cloud), GDPR-compliant, DPA template available. The platform supports SSO, role and permission concepts and a clean separation between private and work content on employee phones — relevant for IT security officers and works councils.
How quickly can Kibi Connect be rolled out in a municipality?
First areas are typically productive within a few days. We recommend starting with one pilot area (such as the depot or administration) and expanding to other departments and external sites step by step — no big-bang rollout.
Project-based trades
Which employee app is suitable for project-based trades businesses?
Kibi Connect combines project chat, plans, tasks, photos and wiki in one platform. Trades businesses use it for site communication, project documentation and coordination between office, site management and field workers — also on the move via smartphone.
How does Kibi Connect replace WhatsApp groups for site communication?
Instead of uncontrolled WhatsApp groups, you get structured project groups with chat, file storage, tasks and defect reports — all inside the project context. Photos from yesterday's measurement remain findable instead of disappearing in a chat history. GDPR-compliant and hosted in Germany.
Can plans and project documents be made available directly in Kibi Connect?
Yes. Plans, measurement protocols, work specifications and other documents can be stored centrally per project and are available directly on the technician's smartphone — even offline once a plan has been downloaded.
Does Kibi Connect work on a construction site without stable internet?
The app is designed for mobile use: content gets cached, messages and tasks can be read offline and sync as soon as there is coverage again. Exactly what a site without stable connectivity needs.
How quickly can Kibi Connect be rolled out in a trades business?
First project teams are typically productive within a few days. We recommend starting with one active site, setting up project chat and wiki, and rolling out the same model to other projects and trades step by step — no big-bang rollout needed.
Contract catering
Which employee app suits institutional kitchens and community catering?
Kibi Connect is built for shift-based operations with operational teams. Institutional kitchens, catering and clinical or school catering use the platform for shift updates, HACCP knowledge, tasks and feedback — all on the smartphone in the kitchen, at the counter or in the office.
How does Kibi Connect support HACCP documentation and hygiene standards?
HACCP guidelines, hygiene plans, cleaning checklists and standard recipes can be stored cleanly in the wiki and file area. Tasks secure routines, read receipts document who has been informed — relevant for audits and quality management.
How do shift updates and menu changes work with Kibi Connect?
Push notifications deliver shift updates, short-notice menu changes and operational notes directly to every employee in the kitchen and at the serving counter. Targeted groups allow distribution by area, location or shift.
Can employees with little digital experience use Kibi Connect too?
Yes. The app is intentionally simple and requires no PC skills. Employees with mainly smartphone experience pick it up quickly. Multilingual content, icons and push notifications make the start easy.
How quickly can Kibi Connect be rolled out in an institutional kitchen?
First areas are typically productive within a few days. We recommend starting with one location or kitchen, setting up shift updates and HACCP knowledge, and rolling out the model to other locations or areas step by step — no big-bang rollout.
