How do I control Kai's knowledge in Administration?

Updated Reading time: 2 min

On this page

In the Knowledge section, as an admin, you can see what Kai knows about your company, what it is currently learning, and where knowledge is missing. You also define what Kai should not use.

How to get there: Administration → AI & Workflows → Knowledge.

Info

Kai only ever finds what the person asking is themselves allowed to see. Permissions are rechecked with every question.

The tabs at a glance#

Tab

Purpose

Company Context

Basic knowledge about your company that Kai considers in every answer—such as industry, locations, or internal terms.

Learning Progress

“What Kai is currently learning” shows ongoing progress, “What Kai recently learned” shows additions from the last 24 hours—only as a count per source, without titles or filenames. With “Sync now,” you manually start a sync.

Knowledge Gaps

Topics for which Kai has recently not found an answer in the available knowledge. The evaluation is anonymous: no questions, no names, only topics with enough queries from multiple people. From here, you can directly create a wiki page.

Excluded for Kai

Exclusions: groups, folders with subfolders, wiki pages with subpages, and—via a toggle—all images. Anything listed here is invisible to Kai for everyone, even for people who would otherwise have access. An exclusion takes effect immediately.

Legal Catalog

Laws and documents that Kai and the Academy reference.

Chat and Email Knowledge#

Whether Kai also searches chats and emails is configured under Administration → AI & Workflows → Kai in the Kai’s Knowledge section. Both toggles are enabled by default.

  • Chat in Kai

Kai searches the chats in which the person asking is a member. If someone leaves a chat, they can no longer find it. End-to-end encrypted chats and chats with self-deleting messages are always excluded.

  • Email in Kai

Kai searches the mailboxes the person asking has access to, as well as notes on email threads. Kai does not store the email text: it reads a matching email fresh from the mail server after rechecking access.

Additionally, each person decides for themselves about their own mailbox: In their personal Kai settings, they can disable My Mailbox in Kai. After that, Kai will no longer find emails from that mailbox.
