In Kibi Connect, you can share files in several ways: via a share link (also for people without an account), specifically with colleagues or groups, or via a shared folder.
Info
Files in "My Storage" are initially only visible to you. They only become visible to others when you share them.
Share a file via share link#
This creates a link through which the file can be viewed and downloaded—even by people without a Kibi Connect account.
Open the Files section and switch to the list view (view icon at the top right).
Click the Share icon (Share) for the desired file.
Optionally set a password (at least 6 characters) and an expiration date.
Click Create share link.
Copy the generated link and share it.
Warnung
A share link works for anyone who has it—even outside your company. Only share it intentionally and protect confidential files with a password and expiration date. The link only allows viewing and downloading the file, not editing it.
Share specifically with colleagues or groups#
With a share, you make content available to specific people or groups. For the recipient, they appear under "Shared with me". Shares are folder-based—you share a folder with its files.
Open Files and on the left in the sidebar, select My Shares.
Click New Share.
Select the folder you want to share and click Next.
Specify who the share applies to (people, groups, or "Anyone with the link") and what permission should apply (e.g., View).
Confirm the share.
Info
If you want to share a single file this way, place it in the shared folder.
Files in the Shared Storage or in a group folder are visible to all authorized colleagues.
Open Files and select Shared Storage or the desired group folder.
Upload the file there or move an existing file there.
The file is then visible to everyone who has access to this storage.
Share directly in chat#
Using the right-click menu of a file, you can send it directly to a chat.
Right-click on the file.
Select Share via Chat.
Select the person or group and send the file.
Using Copy Link from the same menu, you can also copy a link to the file, which you can, for example, insert into a message.
Manage or revoke shares#
Under My Shares, you can see all shares you have created, including the recipient, permission, status, and creation date.
-
Using the Copy icon, you can copy an existing share link again.
-
Using the Actions menu (…), you can edit or revoke a share.

Important notes
• "My Storage" is private—files only become visible when shared.
• A share link is intended for external access; treat it like a password.
• To share, you need the necessary permissions for the file or folder.
Tipp
You can also attach a file directly in a chat and send it to individual people or a group.
