How do I use templates?
Updated Reading time: 1 min
Templates are reusable files – for example, a letter template, a travel expense report, or a protocol. From a template, you can create a new document with just a few clicks, without having to start from scratch each time.
Info
Templates are identifiable by a green Template label and are usually stored in a shared templates folder that all authorized users can access.
Finding templates#
All available templates are grouped together in the Templates section.
Open the Files section.
Select Templates in the sidebar.
You will see all templates with their storage location (e.g., "located in: Shared Folder / Templates").
Creating a document from a template#
When you edit a template, a copy is automatically created as a new document – the original template remains unchanged.
Open the desired template with a click.
Click on Edit.
A new document is created from the template and opened in the editor (the filename includes the date and time).
Fill out the document or adjust it as needed. Your changes are saved as a new file.
Info
The new document is a standalone file. The original template remains unchanged.
Providing templates#
Frequently used files can be marked as templates – they will then appear in the Templates section and display the Template label. Typically, templates are centrally maintained in a shared templates folder. If you need a new template, contact the colleagues who manage the templates.
