How does Kai create and edit Office documents?

Updated Reading time: 2 min

On this page

Kai creates and edits Word documents, spreadsheets, and presentations for you.

Create a new document with Kai#

Simply tell Kai what you need—for example, “Create a presentation with five slides for onboarding new employees” or “Set up a table for vacation planning in the second quarter.”

  • Kai creates the document in one step, fully completed—not just as a skeleton.

  • It appears in your company’s colors and with your company logo.

  • The file is saved in My Files in the Files section. From there, you can move or share it like any other file.

Work with Kai in an open document#

Open the document and click the Kai button in the top right. The Work with Kai sidebar opens on the right. There, tell Kai what to change—for example, “Shorten the second section,” “Make the headings bold,” or “Sum column C.”

  • Kai sees the current state

Including text you just typed but haven’t saved yet.

  • Changes appear immediately

Kai modifies the document directly in the editor. You can continue working in parallel.

  • Formulas are checked

In spreadsheets, Kai verifies formulas before entering them and checks the result afterward.

  • “Done” only after confirmation

Kai only marks a change as completed once the editor has confirmed it.

  • Undo

Each change appears in the sidebar as a “Kai changed” card. Use “Undo” on the card to revert it. You can also find older versions in the document’s version history.

  • Clear feedback if something doesn’t work

If Kai couldn’t complete part of your request, it will explicitly state this in its response—for example, “Not completed: …”.

What Kai can change in a document#

Presentations#

  • Replace, delete, and move slides.

  • Build a presentation from an outline: Give Kai a title and sections. Kai creates a title slide and one slide per section. If a section is too long, Kai continues it on a follow-up slide with “(Cont.)”.

  • Slide footers are renumbered.

Text documents#

  • Delete paragraphs.

Spreadsheets#

  • Delete columns and cells.

  • Insert new columns. They adopt the format of the adjacent column and expand the table range.

  • Insert formulas.

  • Set number formats, such as currency or percentage.

  • Set background color.

Examples of requests#

  • “Delete the Bonus column and add a Commission column to the right of Share: 2 percent of the sum as a formula, formatted as currency.”

  • “Delete slide 3 and move the last slide to position 2.”

  • “Turn this outline into a presentation: Title Safety Briefing, sections Fire Safety, First Aid, and Escape Routes.”

  • “Delete the last paragraph.”
